Position Description: Part-time Starting Salary Range: $1449.00 - $1595.00/month* (non-negotiable)

PLEASE NOTE: This is a part-time position (50% FTE). You must be willing and able to work a part-time schedule. There will be flexibility in setting the part-time work hours for this position. Work hours will be determined by the supervisor at the time of hire.

Responsibilities:
General Internal Medicine, Hospitalist Group has an immediate opening for a part-time (50% FTE) Administrative Assistant III (Hospital Medicine Administrative Assistant) position. This part-time classified Administrative Assistant is responsible for providing professional administrative, technical and clerical support to the Division of General Internal Medicine's Hospitalist Group and Hospitalist Training Program (HTP). Specific duties include handling incoming correspondence, faxes, and calls, maintaining inventory and supplies, picking up and distributing mail, overseeing printing and assisting with special projects; coordinating overnight coverage of Hospitalist Service and evening Wards Twilighting Services; coordinating moonlighter orientation; tracking all moonlighter incentive contracts; scheduling back-up coverage for emergencies; uploading information into the AMION on-line scheduling system; tracking payroll for residents, fellows and faculty; maintaining and coordinating all Hospitalist schedules utilizing AMION; distributing monthly attending schedules; maintaining contact information for Hospitalist residents and attending's; assisting with the HTP Resident rotation vacation schedules; providing website support which includes maintaining the website, uploading physician profiles, etc.; designing and maintaining spreadsheets, reports and databases utilizing MS software programs; and coordinating travel arrangements and expense reimbursements. This position requires independent judgment, excellent communication and interpersonal skills, excellent attention to details and the ability to navigate across complex systems. This position requires skills in the use of several software packages, management of confidential information, scheduling, and knowledge of University resident rotation policies and procedures.

Required Education/Experience/Skills (Minimum Qualifications): Minimum Qualifications:
Three years of general clerical experience. One year of this experience must have included utilizing an electronic scheduling system such as Microsoft Outlook or AMION (or with similar software) and one year of experience creating reports, general correspondence and spreadsheets using Microsoft Word and Excel.

Substitution:
College, university or non-correspondence business school course work may substitute for the general clerical experience on a year-for-year basis but not for the specific requirements.

Desired Qualifications: Preferred Qualifications:

  • Experience creating and maintaining program databases which included developing queries, analysis and data entry.
  • Experience utilizing MS Outlook; experience will include utilizing electronic mail and calendars and electronically scheduling meetings, conferences, etc.
  • Experience updating and maintaining websites and web content.
  • Experience coordinating and managing travel arrangements.
  • Experience processing and tracking expense reimbursements, payments, purchase orders, etc.
  • Experience tracking and ordering office supplies.
  • Experience creating and maintaining both electronic and manual filing systems.
  • Experience providing administrative assistance to faculty, staff, residents and students within in a higher education and/or educational medical environment.
  • Ability to communicate effectively in written form which includes the ability to check for typographical, grammatical and spelling errors.
Competencies:
  • Ability to interpret complex rules, regulations, policies, procedures, and guidelines.
  • Experience that demonstrates strong interpersonal and customer service skills with the ability to establish rapport with persons of diverse backgrounds which also includes experience working with students, staff, and faculty, within a higher education and/or academic medical environment.
  • Must possess a professional demeanor and have experience that demonstrates problem solving skills and the ability to manage multiple tasks and work independently with minimal supervision.
  • The successful candidate will be detail oriented, self-motivated, a fast learner and possess excellent time management, organizational, written and verbal communication skills.
  • Ability to take direction and use independent judgment to coordinate various projects and meet multiple deadlines.
  • Knowledge and understanding of HIPPA policies and regulations.
